Background
Fuel costs are one of the largest operational burdens in the mining, oil, and gas industry. Without a proper monitoring system, companies are exposed to waste, isuse, and an inability to track fuel consumption accurately across individual vehicles and heavy equipment.
The client operated a fleet of vehicles and heavy equipment in Kalimantan with no automated control over fuel transactions. Every fill was recorded manually, there was no real-time visibility into tank stock or consumption, and fuel quotas per vehicle were difficult to enforce. The absence of transaction controls created an environment where unauthorised takes and recording errors went undetected.
PT Phase Delta Control was engaged to implement a Fuel Management System equipped with RFID technology and an automated fuel quota system, enabling every transaction to be supervised and controlled without manual intervention.

Project Implementation

System Description
The system uses RFID cards linked to the identity of each vehicle, heavy equipment unit, or operator. When a fill is initiated, the system performs automatic verification before the pump can be activated — ensuring that only authorised personnel can dispense fuel and that every transaction is tied to a specific identity.
Each vehicle and equipment unit is assigned a fuel quota. The system enforces these limits in real time, blocking fills that exceed the allocated amount and logging every transaction with a time stamp, quantity dispensed, and identity record.
Tank stock levels are monitored continuously, giving operators and managers live visibility into remaining stock and daily consumption patterns. All data is accessible from a web-based dashboard — no manual reporting required.
Summary
The Fuel Management System gave the client its first fully automated, real-time record of fuel consumption across every vehicle and piece of heavy equipment in the operation. Transactions that had previously relied on manual logs became fully digitised, authorised, and traceable — reducing waste, preventing misuse, and making fuel audits a matter of minutes rather than days.
